What is automatic questionnaire sending?
The system can automatically send the correct questionnaire to the patient based on the doctor and the appointment type.
Once configured, every appointment automatically gets the right questionnaire as long as it is created through the calendar.
Appointments made outside the calendar flow will not trigger automatic sending.
Why is this useful?
Each doctor can use their own questionnaire
Patients always receive the correct one
Less manual work and fewer mistakes
How do I set this up?
The setup consists of 3 steps, and this system only works for appointments scheduled through the calendar (using timeslots and assigned doctors).
Step 1 - Link a questionnaire to a doctor
1. Go to: Settings → Interactions → Conversation Templates
2. Open the questionnaire you want to link
3. In Linked doctors, select one or more doctors
4. Don't forget to 'Save'
If no doctor is linked, the questionnaire is treated as general and applies to all doctors.
Step 2 - Link the questionnaire to an appointment type
1. Go to: Settings → Appointments → Manage Exams
2. Select the modality
3. Click the pencil icon next to the appointment type
4. Select the correct questionnaire(s) in Conversation
5. Don't forget to 'Save'
You can link multiple questionnaires per appointment type.
Step 3 - Link the doctor to a timeslot
1. Go to: Settings → Appointments → Manage Agenda
2. Select the room and timeslot at the top of the page
3. In Doctor/Provider, choose the doctor assigned to that timeslot
4. Don't forget to 'Save'
Automatic questionnaire selection only works when the appointment is scheduled inside a timeslot linked to a doctor.
How does it work in practice?
When an appointment is created via the calendar:
The system checks the timeslot
It identifies which doctor is assigned to that timeslot
It selects the questionnaire linked to both the doctor and the appointment type
That questionnaire is automatically sent to the patient

This only works via the calendar
Appointments outside timeslots or created manually without using the calendar flow will not trigger automatic questionnaire sending.
Appointment outside time slots
No automatic questionnaire is assigned. You can still attach one manually.
No doctor linked to a timeslot
The system cannot choose a questionnaire automatically.
No doctor linked to a questionnaire
The questionnaire becomes general and applies to all doctors.
Multiple questionnaires per appointment type
The system selects the questionnaire that matches the doctor assigned to the timeslot.
